Job Description

Perform assigned administrative duties with a minimum of supervision; interact effectively with management, supervision, officials, and employees. Learn to adapt to new technology as it relates to office practices and procedures. Always maintain confidentiality of information, pay attention to detail, and work effectively despite interruptions. Internet research abilities and strong communication skills Duties and Responsibilities: a) List in order of importance the duties and responsibilities of the job. Identify what is done and how it is done. b) Indicate the percent of time spent weekly on each responsibility. Do not include responsibilities that require less than 5% of time. 1. General administrative duties such as faxing, database queries, sorting mail, phone coverage, ordering office supplies, picking up packages, meeting coordination, composing correspondence, presentation development, miscellaneous filing, make arrangements for visitors & oversee housekeeping, car rental arrangement, etc. 2. Providing details for final settlement for exiting employees, coordination with Mumbai office for completion of joining formalities and pre-employment medical tests for all Plant & Pune based employees. Maintaining leave records for Plant employees using Leave Books. 3. Maintenance of Personnel Files of Workmen & Supervisors, occupational health checkup & medical claims follow ups for Plant & Finance office.  4. Handling formalities related to Contractual Employees including maintaining all records as per law, and interacting with Labour department as required. 5. Coordinating with support functions for medical (tie up with local hospital, ambulance services etc.) in the plant area to ensure third party emergency services are available to plant personnel. Communication to Security Gate on information related to Shift scheduling plan & planned plant working on Holidays. Knowledge and Skills: Specialized knowledge and skills needed to perform the job. Proficient in MS Office (Word, Excel, PowerPoint). SAP a plus. Excellent verbal and written skills. Must maintain a high level of discretion and confidentiality. Must be detail oriented, accurate, reliable, and organized. Education: Education, licenses, certifications or degrees needed to perform the job. Graduate with minimum 3 years in an administrative support function. Experience in a manufacturing setting a plus.
