Job Description

1. Coordinating with Landlords to hire new office, getting proposals negotiating with the Landlords on rent and deposits & other terms & conditions
2. Travelling to Various Location across India for premises set up / Infrastructure set up & Branding
3. Getting the required documents pertaining to the property from the landlord and getting it verified and approved from the legal department.
4. Preparing of Leave & License Agreement or Business Centre Agreement, Service Agreement, Deposit Agreement as per the proposal & requirement.
5. Furnishing of premises as per the requirement/collecting BOQ
6. Issue of letters for renewal or Termination Letter for surrender of premises.
7. Recovery of Deposit from landlord on surrender of premises.
8. Shifting or disposal of fixed assets on surrender of premises.
9. Annual Maintenance Charges of Air Condition Machines, UPS, Generator, Stabilizer etc.
10. Annual Verification of Fixed Assets across the India with Branch Manager
11. Coordinating with Insurance Company to insure the assets available at premises across the India, & renewal of the insurance policy.
12. Purchase & refill of Fire Extinguisher available at each location.
13. Registration of Shops & Establishment of the premises wherever it is applicable & renewal of Shop & establishment after every year or three years.
14. Procurement of various fixed assets by collecting quotation from local market / comparison
15. Guest House Maintenance
16. Car booking and Hotel booking for the Guest/employee

Procurement / Vendor Management/ Utility Management :-
1. Procurement of IT Hardware Products & Services in coordination with IT Vendor, other IT Industry Company & internal IT Team
2. Designing, Executing & ordering printing stationery like envelopes, letterheads, visiting cards, lamination pouch, ID cards etc.
3. Coordinating with Telephone service Company & Courier Companies, Security Agencies, Drinking water suppliers.
4. Arranging New telephone lines at the new premises or existing premises as per request from product line & as per policy laid down by the company management.
5. Maintaining & Updating Telephone MIS every month. Processing Monthly Telephone bills of various vendor who is providing telephone service
6. Negotiating and finalizing of the Annual Maintenance Contracts, Insurance of all Company Assets across the country.
7. Processing monthly Electricity bill of each premises Pan India. Ensuring payment to be done before the due date & without any late charges.
8. Coordination with all type of vendor for service, negotiation in rates, etc.,
9. Cable Management. Timely renewal of package across west region

Travel Desk;
1. Ticket booking (BUS/AIR/RAILWAY)
2. Arrangement of VISA for Senior team leader
3. Hotel Booking
4. Arrangement of Foreign Exchange through Agent

Facility Management :-
Routine office work.
Supervision of Electrician / Plumber / Janitor maintenance
Society, Terrace and basement issues
To make sure that House keeping requirements are met
Inspection of each unit
Pest Control
Spring Cleaning for festivals
Security Systems (Duplicate keys / Passwords/ Security Codes)
Security Management, their Duties, Payments & Contracts
Monthly Stock of printing papers/rolls etc.
Vendor payments
Maintaining files with contracts / bill copies / vendor details
Secondary responsibilities include
Overseeing the Reception area and functions
Overseeing the Admin Functions as a whole
Overseeing the Compactor(Storage) arrangements & requirement for its functioning

Event Management
Responsible for complete arrangements for Conferences, Annual Events, Travel & Lodging/boarding of Travelers
Arrangements for gifts / bouquet as per requirement
Make arrangements during Festivals/Occasions / Farewells / Get Together
Arrangements for Staff Training & Annual Night & Picnics as per budget

Passing payment voucher, receipt voucher, Journal voucher, sales ,debit note in Tally 9
Maintaining record of payment done to the various vendors pan India
Making & Controlling track of professional tax payment for Pan India
Branches wherever it is applicable.
Getting New Professional Tax registration number & renewal of professional tax for various location across India
Getting New Labour Welfare Fund registration number & renewal of Labour Welfare Fund for various location across India wherever it is applicable.
