Job Description

1. Facility Management :
We have 4,000 Sq ft. Office split in 2 floors in the same building. Current employee strength is 80. It is supported by 2 office boys, 2 security guards and 1 office assistant. This team is self sufficient and works without much supervision. But as our scale is growing, more structure and process rigor is required. That's where the new person comes in. She/he needs to take charge of the facility and drive things more proactively with the objective of making it the best place in Pune to work at.

2. Travel Management :
We are a captive off shore service provider with very limited travel requirements. But off late, it has increased. We sometimes use a ticket booking agent and sometimes do our own bookings. The person will need to do everything to organize hassle free travel for employees whenever required including flights, stay, forex card and other logistics.

3. Compliance Management :
We avail of external CA and CS services for all compliance requirements. However, limited work on STPI compliance is managed in house. It's a quarterly work involving 4-5 hrs of time of creating some word documents. Person will be trained on this requirement. She/he will also need to be proactive in ensuring good coordination with external associates.

4. HR Ops :
This involves need misc tasks like monthly payroll processing, employees data management, coordinating background checks, annual insurance renewal, coordinating insurance claim processing, coordinating PF additions and deletions etc.

5. Accounts management :
We maintain our accounts in QuickBooks online. The office assistant maintains cash and cheques and bank balances under supervision of the director. Most of the higher end work of audits and non standard entries is done by the CA agency. The person will need to take charge and ensure that books are maintained properly and the CA agency has all the right information at the right time. Any training required on accounting or QuickBooks will be provided.

6. Filling and Records management :
This area is currently weak. The person needs to review status and plan suitable actions to improve it.

7. General activities and employee engagement :
This is the fun part. As a responsible and active citizen of the company, it will be good to see the person collaborating with other employees to work towards making us the best place to work for in Pune.
