Job Description

• Verification of all bills; supporting documents and other documents with respect to processing of payments; advances; settlement of advances; receipts and for journal vouchers
• Follow-up with parties, concerned persons where documents are inadequate, incomplete or not proper.
• Processing payments, receipts and journal entries after ensuring that the payments, receipts and journal documentation are in order.
• Ensuring deduction of TDS at all times and compiling the data from all branches for quarterly return.
• Preparation Vouchers and attaching supporting documents for approval
• Preparation of Receipts - Ensuring name, address and PAN nos. are given thereon for approval.
• Entering Vouchers and Receipts in the Tally Books of Account. Ensuring that entries are made in the designated separate foreign contribution books of account with correct cost centres and head of accounts.
• Ensuring Entries in Tally Books of Account (Incl. Vouchers and Receipts) are complete in all respects
• Ensure that the Accounts Tree and Ledger Accounts are not added, Altered or Deleted, as the same are approved and structured.
• Incorporate Budgets in Tally Books of Account for Each Cluster and Programme, as approved by the Donor in Writing.
• Follow-up and report daily to Finance Manager for his review of Books of Account.
• Maintaining Cash in Hand Separately for Foreign Contribution Account and Local Contribution Account and Having Daily Physical verification.
• Preparing Cheques for Payments based on Approved Vouchers and Documents (Note: Ensure TDS is deducted and deposited).
• Prepare Monthly list of Outstanding Advances - Outstanding to be paid or to be recovered and provide to Finance Officer and Head of Organization for Follow-up.
• Preparing Monthly Bank Reconciliation Statement for each and every bank account duly signed by Finance Manager and keep the same as a permanent record.
• Facilitating Internal & Statutory Audits
• Fixed Deposit entries and reconciliation
• Participate in other Admin Functions related to meeting and trainings.
